Privacy at Bradford Grants
Effective September 24, 2026. This notice covers the public website, its contact, release-update, invite-only beta-access, and one-time website-invitation forms, and the public Bradford Grants Assistant.
Our public-site approach
Bradford Grants is designed around data minimization, access controls, and accountable human oversight. Approved service providers may process authorized requests under disclosed terms. Live organizational records, uploads, grant submissions, and connected integrations are not part of this public release.
Contact messages
The contact form collects the information you choose to provide. Messages are encrypted on the Bradford Grants server, reviewed through a private owner process, and normally deleted after 90 days. Once owner email notifications are approved and enabled, the contact name, email address, topic, and up to a 240-character message preview are sent to the team-managed role mailbox; the complete encrypted message remains in the private owner workflow. Do not submit confidential, financial, health, identity, credential, or beneficiary information.
Release updates
Release-update records contain your email address, optional name and organization, consent version, and submission time. They are encrypted and held for no more than 180 days without an approved double-opt-in program. No marketing email is sent by this initial public release.
Invite-only beta access requests
The beta-access form is used only to evaluate and respond to requests for the invite-only beta. It collects your name, email address, organization, role, grant category, and project purpose, together with the trusted form location, consent version, and submission time. The consent checkbox records your permission for Bradford Grants to store and review that request; submitting it does not guarantee approval or access and does not enroll you in release updates or a newsletter. Requests are encrypted on the Bradford Grants server and reviewed by authorized Bradford Grants administrators. Pending or declined requests are deleted at their stored expiration boundary, currently no more than 90 days from receipt; approved records require a separately approved retention rule. You may request deletion through the “Privacy request” path described below. Beta-request form values are not sent to Google Gemini and are not added to assistant prompts.
One-time website invitations
The public invitation form collects the inviter’s name and email address and the names and email addresses of up to five intended recipients. The inviter must confirm that they know the recipients and have permission to share those addresses for this purpose. Bradford Grants encrypts the form record and queues one branded website invitation for each recipient. Recipients are not subscribed to release updates, a newsletter, or a membership program. Invitation records expire after no more than 30 days, and the form is protected by same-origin checks, one-time request tokens, automated abuse limits, and a hidden bot field. Do not use this tool for purchased, scraped, or unsolicited address lists.
Bradford Grants Assistant
By sending a question, you direct Bradford Grants to transmit that question to the Google Gemini API so the assistant can answer from approved Bradford Grants public content. Do not enter confidential or sensitive information. Raw chats are not stored in the Bradford Grants database, and each request uses the stateless Gemini generateContent API with no tools, web search, or access to private Bradford Grants records. Limited provider abuse-monitoring retention may still apply under Google’s terms and privacy practices. The assistant cannot access private form records, submit grants, send email, change records, browse arbitrary websites, or run code.
Retention and security records
Short-lived pseudonymous rate counters are deleted after 24 hours. Privacy-safe application logs and encrypted backups are retained for 30 days. Owner exports expire after 14 days. We minimize records but cannot promise absolute security or confidentiality.
Your choices and privacy contact
You may request access to or deletion of a public form record through the Bradford Grants contact form. Select “Privacy request” as the topic and provide only enough information to locate the request. The form is the approved public privacy-contact method for this release. Backup deletion follows the documented 30-day rotation.
Funding and AI limitations
Bradford Grants does not guarantee eligibility, selection, awards, or funding. Opportunity details can change; users must confirm requirements and deadlines with the official funder. AI-assisted output requires human review and approval.
